Rule — react when a checklist's progress hits 100 percent

This page shows you how to set up a rule that moves a roadmap item to a new status the moment every task on its checklist is ticked off. A common use is "when the checklist is fully done, set the item to Done automatically".

Before you start

Step by step

  1. Open the board's Workflow Automations tab.
  2. Find the rule card you want to use.
  3. In the Trigger dropdown, pick When progress reaches 100%, set roadmap status.
  4. The card now shows the Configure section with one field:
    • Set status to: pick the roadmap status the item should be moved to. This field is required. The dropdown lists every status on this board. If you leave it on Select target status, the rule will not be saved.
  5. (Optional) Tick Notify admins by email at the bottom of the card to send the workflow email each time this rule runs. This box is on by default. See Edit the emails sent by workflow rules to change the subject and body.
  6. Click the Update button at the bottom of the page.

What changed

From now on, every time a checklist task on this board is ticked off, SimpleBoards looks at the parent roadmap item:

  • If every task on the item is ticked off (100 percent), the rule runs and the item is moved to the status you picked.
  • If even one task is left unticked, nothing happens.

The rule only runs once per item per completion. If you later untick a task and re-tick it, the rule does not run a second time on the same item.

Items with no checklist tasks at all are skipped. The rule needs at least one task on the item to fire.
