Rule — move an idea to the roadmap when votes reach a threshold

This page shows you how to set up a rule that promotes an idea to the roadmap once it has enough votes. You pick the vote count and the roadmap status the idea should land in. This is the most common workflow rule, because it removes the manual job of watching the ideas tab for popular ideas.

Before you start

  • You already added a blank rule on the board. See Add a workflow rule to a board.
  • The board has at least one roadmap status (for example Planned, In Progress, Done). Boards have these statuses by default.

Step by step

  1. Open the board's Workflow Automations tab.
  2. Find the rule card you want to use.
  3. In the Trigger dropdown, pick Move idea to roadmap when vote threshold is reached.
  4. The card now shows the Configure section with two fields:
    • Threshold (votes): type the number of votes that should trigger the move. The default is 10. The minimum is 1. Pick a number that fits your board's traffic. A small board can use 5; a busy board often uses 25 or higher.
    • Set status to: pick the roadmap status the idea should be moved to. The dropdown lists every status on this board, plus the option Do not set status. If you leave it at Do not set status, the idea is promoted to the roadmap but keeps the closest matching status it already had.
  5. (Optional) Tick Notify admins by email at the bottom of the card to send the workflow email each time this rule runs. This box is on by default. See Edit the emails sent by workflow rules to change the subject and body.
  6. Click the Update button at the bottom of the page.

What changed

From now on, every time someone votes on an idea on this board, SimpleBoards checks the vote count for that idea. When the count reaches the number you typed, three things happen at once:

  • The idea is converted into a roadmap item. It moves from the Ideas tab to the Roadmap tab.
  • If you picked a status in step 4, the new roadmap item is set to that status.
  • If you ticked the notify box, an email is sent to the address in SimpleBoards > Settings > Notifications > Notification email address.

The rule runs once per idea. After an idea has been promoted, it does not get promoted again, even if more votes come in.
